In pilot: AI agents that act on a home care franchise's data, with a person approving every step

Right at Home: the OBIS AI Operating Layer and UI/UX Application Layer Interface

OBIS dashboards already show Right at Home owners in 11 states what moved each week. The OBIS AI Operating Layer is the next step: a team of AI agents that work from the franchise's own data, flag what needs attention in every department, and draft the next action for a person to approve. A Right at Home franchise is piloting it now.

Situation

Home care runs on many systems by necessity: scheduling and visit verification, recruiting, CRM, payroll and accounting. Scoreboards show owners what moved. The harder part is what comes next: answering a hospital referral before another agency does, filling tomorrow's open shift, catching the caregiver credential that expires on Friday, and renewing a payer authorization before visits stop being paid.

That follow-through lives in inboxes, spreadsheets and the memory of busy office staff, and it is the first thing to slip in a heavy week. Better dashboards alone do not fix it. Someone has to act on the numbers.

Solution

OBIS built the AI Operating Layer: a team of AI agents, each responsible for one part of the business, working from the franchise's own data. The referral intake agent turns any inbound referral, whether an email, fax, web form or voicemail, into a CRM-ready record with a drafted reply and a response clock. The open-shift agent ranks the best-fit caregivers by distance, overtime and client fit, then drafts the offers. Compliance, visit-note and authorization agents watch credentials, changes in a client's condition and payer renewals, and a chief-of-staff agent writes the owner's Monday brief.

Recruiting, finance, data-quality and prediction agents round out the team: the weekly hiring brief, Performance Group preparation, reconciling one system against another, and forecasts of client churn, caregiver turnover and hiring needs by ZIP code.

OBIS also designed the UI/UX application layer interface, the part staff actually work in. The Power BI report is organized by department and by role: the owner sees every office, an office director sees their own, and intake sees what intake needs. Statuses read at a glance by color, key numbers drill down to the detail behind them, every page has an Ask button for ask-your-data questions, and print views are ready for the leadership meeting.

Guardrails come first. Anything that reaches a caregiver, family or referrer stays a draft until a person approves the exact text. A client privacy mode lets agents work from coded IDs instead of names. The warehouse, automations and Power BI report live in the franchise's own environment and belong to the franchise, and OBIS licenses the AI layer on top. Because the report, the agents and the ask-your-data chat read one source, the number an agent quotes is the number on the owner's dashboard.

Where the pilot stands

A Right at Home franchise is piloting the OBIS AI Operating Layer now. When the pilot ends, we will publish measured results here, the same way we report every story on this page.

The measures we are watching are the ones that matter most in home care: how fast referrals get a reply, how quickly open shifts are filled, how many credentials and authorizations renew on time, and how many hours of report-building leave the owner's week.

The layer builds on the data foundations OBIS has delivered for Right at Home territories in 11 states.
